Privacy Policy

POC Gen ("the Application") is a licensed software product developed by Dr. Robert Rice ("Developer"). This Privacy Policy describes how the Application handles information when you use it.

1. Information We Collect

POC Gen collects only the information necessary to operate the software:

• License key: Used to validate your subscription and authenticate access.
• Google Account: If you choose to enable Google Drive sync, the Application requests access to your Google Drive solely to save and retrieve your session and settings files within a dedicated POC Gen folder.
• Practice and patient data: Entered by you during use. This data is stored locally in your browser or synced to your personal Google Drive. It is never transmitted to or stored on the Developer's servers.

2. How We Use Information

• License keys are validated against a secure database to confirm active subscriptions.
• Google Drive access is used exclusively to read and write your POC Gen files. The Application does not access any other files in your Google Drive.
• No patient data, practice data, or session data is ever shared with third parties.

3. Google Drive Integration

POC Gen uses Google OAuth 2.0 to allow users to optionally sync data to their personal Google Drive. The Application requests only the drive.file scope, which limits access to files created by POC Gen. We do not access, read, or modify any other files in your Google Drive account.

4. Data Storage and Security

Session and settings data is stored in your browser's local storage and/or your personal Google Drive. Data is encrypted using AES-256-GCM encryption before being written to Google Drive. The Developer does not have access to your encrypted data.

5. Data Retention

You control your data. You may delete your POC Gen folder from Google Drive at any time. Clearing your browser's local storage will remove locally stored data. The Developer retains only license key records necessary to validate subscriptions.

6. Third-Party Services

POC Gen uses the following third-party services:

• Google Drive API — for optional file sync (subject to Google's Privacy Policy)
• Anthropic Claude API — to power the RobOT AI assistant (questions are processed but not stored)
• Google Apps Script — for license validation

7. HIPAA Notice

POC Gen is a practice management tool designed to assist with care planning. It is the responsibility of the licensed user to ensure compliance with HIPAA and applicable regulations when entering patient information. The Developer recommends avoiding the entry of full patient names or sensitive protected health information beyond what is necessary for care plan generation.

8. Children's Privacy

POC Gen is intended for use by licensed healthcare professionals. It is not directed at children under 13.

9. Changes to This Policy

We may update this Privacy Policy from time to time. Updates will be posted at pocgen.app/privacy. Continued use of the Application after changes constitutes acceptance of the updated policy.
